Also in attendance was K. Janna Taylor, Parks & Recreation Directors'ONFIRMATION OF MINUTES That the minutes of the meeting of the Parks & Recreation Committee held on Wednesday, November 20th, 1985, be taken as read and adopted. Item No 1 All Snorts Oueen's Ball & Tea The attached letter was received from P.C.A.A.A. In the past we have given the free of charge for the Queen's Ball andfacilities Tea. For the information of Committee the charges for the Queen's Ball would be 820.60 per and the Wilson Centre for the Queen's Tea hour would be 840.00 per hour. Totals would be $ 103.00 for the Mabbett Room and $ 120.00 for the Wilson Centre. Seniors Advisory Board has already given The permission for the Queen's Tea. Recommendation That the Port Coquitlam Amateur Association be permitted to use Athletic the Wilson Centre and the Mabbett Room for the Queen's Tea and the Queen'8 Ball respectively. CARRIED Item No. 2 II &,'.I $ J'i, iJ'l f Hockev School This particular item was discussed at the November 20th, 1985, Committee meeting, A recommendation was passed to permit the hockey school; clarification was required on the times. however, We have now determined that the hockey school is from August 25th to August 30th, 1986, from 9:00 a.m. to 12:45 p.m. They will pay commercial rates as in the past. /2. It should be noted that the costs for putting in the ice ahead of time was $ 6,000 and this cost was due to electrical and gas costs. maIde II if I Recommendation That the McMeekan Hockey Scnool be permitted to run from August 25th to August 30th, 1986, in one arena. CARRIED Item No. 3 Bantam Tournament Please see attached letter. The tournament is scheduled to run from March 30th to April 7th, 1986. As Committee is aware, this is an annual tournament and has been run very efficiently over the years. It should be noted that March 31st is Easter Nonday and for statutory holidays they are charged the full rate, as in the past. Recommendation That the Minor Hockey Association he permitted to host the annual Bantam Tournament from March 30th to April 7th, 1986. 2. That the ice rental for March 30th, April 1st, 2nd, 3rd, 4th, 5th, 6th and 7th be at 508 of the 3~ 4. ice rental cost. That overnight parking of recreational vehicles, which are self-contained be permitted "n the area West of the new arena and North of the court facilities. Pronosals re Hvde Creek Centre It was brought to the attention of Committee that invitations to six companies were sent out. They were invited to submit a proposal on the Hyde Creek feasibility study and out of the six, five were received. The proposals were handed out to the Committee for their perusal and they will be short-listed at the next Committee meeting. The City Council will do the interviewing and make their final selection for the Hyde Creek feasibility study. The Port Coquitlam Minor Hockey Association's Bantam Tournament Committee, requests the use of the entire arena complex including the meeting rooms and the ticket office for the entire time of the Tournament, March 30 April 7, 1986. — We would also request, that as in the past the City of Port Coquitlam waive the rental fee for the meeting rooms and that the same arrangement for ice rental as has been acceptable in the past, that is, that the city of port Coquitlam supply to the Bantam Tournament the ice surfaces at half (I5) the gross tabulated cost, based upon the Minor Hockey Ice rental schedule. Also the Bantam Tournament Committee would request your consideration of the following. 1) Permission to install a telephone in the ticket office for the duration of the Tournament installation to take place the week before commencement — 2) P, rmission to use the area West of the New Arena and North of the Court Facilities for overnight parking of recreational vehicles which are self-contained. 3) &I) Permission be granted to place advertising in both arenas and in the arena lobbies.
